Derbyshire Hills Campsite and Glamping Terms and Conditions

 

Definitions: "The Company" refers to Derbyshire Hills Campsite and Glamping. "The Client" refers to any individual or entity that books or uses the facilities provided by The Company.

​

Camping pitch information

 

Check-In/Out Camping: Clients may check in from 1 PM to 8pm  on the day of arrival, and must check out by 11 AM on the day of departure. Requests for early check-in/late check-out are subject to availability and additional charges. 

​

Vehicle and Cycle Speed Limit: For the safety of all guests, especially children, and to minimise the impact on the natural environment, all cars and cycles must observe a strict 5 mph speed limit while on the premises.

​

Facility Use and Conduct: Clients must respect all property, amenities, and natural habitats. Any damage or loss caused may result in additional charges for repair or replacement.

​

Noise and Quiet Hours: To maintain a peaceful environment, quiet hours are enforced from 10 PM to 7 AM. Excessive noise or disruption may result in eviction without refund.

​

Pets: A maximum of two dogs per booking is allowed for camping pitches, 1 dog for caravan bookings. All dogs must be kept on a short lead at all times due to the presence of livestock, wildlife and other guests. Clients are responsible for cleaning up after their pets. Specific areas may be designated as pet-free zones.

​

Prohibited Items and Activities: The use of cigarettes, electronic cigarettes, cigars, and pipes is strictly prohibited inside all accommodations and communal areas. The use of candles or any form of open flame is strictly prohibited inside tents and accommodations. Due to the fire risk and potential harm to livestock and wildlife, the release of Chinese lanterns is not permitted.

Fire Pits & BBQ’s: Fire pits and raised BBQ’s must be used responsibly, be raised off the grass and leave no burn marks. Clients must not leave fires unattended and must fully extinguish them after use.

​

Recycling and Rubbish: Clients are required to use recycling facilities provided by The Company. All rubbish should be disposed of properly in the designated bins.

​

Shepherds huts/ caravan information

​

Bookings: Bookings are confirmed upon the receipt of a 25% non-refundable deposit. Full payment is required 30 days before the arrival date. In the event of a no-show or booking reduction (after arrival date), no refund will be given. (This applies to shepherds huts and caravan bookings.)

 

Cancellations and Insurance:

  • Cancellations made more than 7 days before the arrival date will be charged 50% of the total reservation cost.

  • Cancellations made within 7 days of the arrival date will be charged 100% of the total reservation cost.

  • If the guest does not show up, they will be charged 100% of the total reservation cost.

  • Clients are strongly advised to secure comprehensive travel insurance to cover these potential charges along with personal accident and property loss. ( This applies to shepherds huts and caravan bookings)

Check-In/Out Shepherds huts: Clients may check in from 3pm to 8pm on the day of arrival and must check out by 10am on the day of departure. Requests for early check-in/late check-out are subject to availability and additional charges.

 

Breakages and Damage: Clients are responsible for the cost of any breakages or damages caused to the accommodation or its contents during their stay, which must be reported and paid for prior to departure. (Shepherds huts and caravan)

Loss of Keys: A charge will be levied for lost keys to cover the cost of replacement or locksmith services.

​

Complaints: Any dissatisfaction with the accommodation or facilities should be reported immediately to the management to provide an opportunity for issues to be resolved during the stay. Complaints received after departure cannot be dealt with effectively as the opportunity to rectify the problem at the time will have passed.

​

Data Protection: Personal data collected during the booking process will be used for the purpose of managing the booking and stay, and in accordance with the applicable data protection regulations. The Company commits to not sharing this information with third parties without the Client’s consent, except where necessary to fulfil the service or if required by law.

​

Third-Party Bookings: Bookings made via third-party channels, such as Airbnb, Booking.com, or other online travel agencies, are subject to the terms and conditions as specified by the respective channel. The Company’s own terms and conditions apply in conjunction with, and not in replacement of, any terms and conditions stipulated by such third-party channels. Clients are responsible for familiarising themselves with the terms provided by these channels at the time of booking.

Liability: The Company will not be liable for any indirect losses or damages arising in contract, tort, or otherwise. The Company's total liability shall not exceed the amount paid by the Client for the booking. Clients are reminded to secure their personal belongings and valuables, as The Company does not accept liability for any loss or damage to these items.

​

Force Majeure: The Company shall not be liable for any delay or failure in performance of any part of these terms and conditions due to events beyond its reasonable control, including but not limited to natural disasters, acts of God, war, terrorist activities, riots, pandemics, fire, flood, earthquake, extreme adverse weather conditions, or other unforeseen circumstances ("Force Majeure Events"). In the event of a Force Majeure Event, The Company will endeavour to notify affected clients promptly. Affected bookings may be rescheduled, subject to availability, without additional charge, or provided with a credit note for future use. Should rescheduling not be possible, The Company will provide a full refund of any payments made for services not rendered due to such events. The Company will not be responsible for additional expenses incurred by clients in preparing for their trip (e.g., airline tickets, rental cars, or travel insurance).

 

Governing Law: These terms are governed by the laws of England and Wales, with exclusive jurisdiction of the English courts.

 

Amendment of Terms: The Company reserves the right to amend these terms and conditions at any time without prior notice. The client's continued use of the facilities following any changes constitutes acceptance of the new terms.

Acknowledgement: The Client, by making a booking, acknowledges that they have read and agree to be bound by these terms and conditions.
